Job DescriptionJob Summary: As a member of the site leadership team, the Operations Practice Manager is responsible for operations in the medical department, assuring those robust connections with other site services are established to create an outstanding patient experience at the site. The Operations Practice Manager is also responsible for ongoing measurement of efficiency and performance, implementing strategies to enhance access to care and productivity through activities to improve appointment scheduling practices, new patient entry processes, no show rates, operational workflows, and panel management. The Operations Practice Manager oversees the overall efficiency and accuracy of front-end operations such as registration and demographic/financial data collection Essential Functions:

  • Hires, orients, and provides ongoing supervision and performance evaluation for assigned positions: Front Desk Supervisor, Unit Secretaries, and Interpreters. Participates in human resource planning and decisions, including orientation, training, and coaching.
  • Works with other members of the leadership team to assure the availability of adequate staff to support practice needs, with attention to effective and efficient use of resources.
  • Reviews & implements templates and schedules for provider sessions to meet the needs of the patient population and the practice and works to maximize efficiency and productivity. Duties include checking provider schedules to identify unused slots, assuring adherence to appointment scheduling procedures, and appropriate utilization of appointments.
  • Creates and analyzes reports to improve the day-to-day operations of the medical department with a major focus on improving the business aspects of health care operations, as well as enhancing access, quality of care, and the patient experience. This includes, but is not limited to, continual review of productivity reports, first third availability, no show rates, new patient reports, and monthly UDS reports.
  • Performs provider panel management, including assigning patients to providers, transitioning patients to new providers, and managing PCP change requests. Utilizes monthly patient panel report to make panel assignments.Education and Experience:
  • Minimum 3 years of experience in management in an ambulatory health care setting.
  • Knowledge of the principles and practices of health planning and clinic management sufficient to manage, direct, and coordinate the operation of a medical practice.
