SpecialistFraminghamThe Grants and Contract Billing Specialist is
responsible for post-award management and monitoring for a highly
complex assigned group of grants and contracts funded by federal,
state and other funding agencies. Responsibilities include full
cycle processing to include, billing, aging, transaction review,
financial oversight, and providing support to management for budget
development. Reporting to the Director of Revenue Recognition, the
Grants and Contracts Specialist will develop detailed knowledge of
the federal, state, and/or other funding entities' requirements for
their assigned portfolio. The candidate will interpret regulations
and provide financial data to principal program directors and
senior staff on a continuous basis. The Grant and Contract
Specialist will work closely with external contacts to build
relationships and trust. The Specialist will be able to make
complex decisions independently and identifies when collaboration
is needed with other team members and/or management.Staff will
provide outstanding customer service and serves as the single point
of contact for fiscal contract administration and works in
collaboration with other departments including Department of People
and Culture (HR), program management, IT, grants management,
general finance and more.Candidates who have served in the capacity
as project accountants, financial analysts, grants & contracts
roles universities, and/or non-profit organizations tend to be
successful in this position.We offer a hybrid work schedule,
working two days from home and three days in the office. The hybrid
schedule will begin after 90 days of successful employment.Salary
Range: $70,000.00 to $80,000.00/yearWhat you would do:--- Manages
all phases of post-award grants and contracts administration,
including monitoring award compliance, budgets, and reviewing and
recording expenses.--- Serves as Wayside's lead point of contact
with funders on matters relating to award compliance and financial
administration through effective written and verbal communication
with minimal supervision.--- Monthly, generates billing by required
deadlines. Process journal entries as needed with approval. Work in
various external systems to complete billing to include but not
limited to IFamily, EIM, and other systems.--- Supports a highly
complex program portfolio that may include federal, state and grant
foundation funding sources billed as unit rate, cost reimbursement
and accommodation rate basis.--- Research & identifies solutions to
challenging compliance, financial management, and operational
problems. Understands when to seek guidance from supervisor on more
complex issues.--- Utilizes Accumatica accounting system to record
revenue. Sets up and maintains forms used to generate, analyze, and
monitor budgets with a high level of complexity. Records authorized
journal entries to align spending appropriately.--- Works
independently to prepare, seek approval and submit financial
reports to funders. Supports programs with preparation and/or
review of budgets, fund reconciliations, and ad-hoc reports for
internal and external staff as needed. Performs advanced-level data
analysis as required.--- Reviews agreements including subawards,
sub-contracts, service agreements, and related amendments and
supplements related to award compliance.--- Plays a key supporting
role to programs to coordinate and submit contract amendments.---
Identifies and explores opportunities for continuous quality and
process improvements in departmental services.--- Prepares annual
reporting requirements to include but not limited to: SEFA, OSD,
and UFR.--- Other duties may be assigned as required by the needs
of the department.Competencies/Traits of our Superstars:---
Demonstrated experience with leading working groups and/or
delivering training or mentoring.--- Must have the capacity and
interest in supporting both state and federal awards.--- In-depth
knowledge of sponsored projects administration and advanced
experience with grants, cooperative agreements, and/or sponsored
contracts. Expert knowledge of federal, state, and non- profit
sponsor regulations, policies, requirements, and procedures.---
Commitment to continuous quality improvement and customer service,
ability to interact well with a wide range of internal and external
contacts.--- Strong written and verbal communications skills,
ability to communicate highly complex issues effectively and
independently and willingness to accept guidance and feedback from
supervisor when needed.--- Intermediate+ skills in computer
applications including Microsoft Excel and Word. Ability to work
with a sophisticated database system to maintain fiscal and
administrative records.--- Intermediate understanding of accounting
and financial analysis.--- Flexible and adapts well to change.---
Ability to work well under tight deadlines.--- Strong analytical
skills and ability to problem solve.--- Demonstrates strong
attention to detail and organizational skills.--- Non-Profit
experience preferred.Minimum Requirements:--- At least three (3)
years of experience in sponsored fiscal projects administration or
related area that included financial analysis and/or with at least
two (2) years in grant, contract, and/or subaward development and
management, or other relevant experience.--- Bachelor's degree in
public or business administration, finance, accounting, or other
related field; or substitute with four additional years of related
